Deploy SecureMailMerge to your organization

Microsoft 365 administrators can install SecureMailMerge for many users at once from the admin center. The add-in then appears in their Outlook automatically.

Centralized deployment lets a Microsoft 365 administrator install SecureMailMerge for selected users, groups or the entire organization from the Microsoft 365 admin center. Deployed users do not need to install anything; the add-in appears in their Outlook automatically.

When to use centralized deployment

  • You are rolling SecureMailMerge out to a team, a department or the whole organization.
  • Your organization does not allow users to install add-ins themselves.
  • Users see “Need Admin Approval” when they try to install it. See Why am I seeing “Need Admin Approval”?.

If you only need SecureMailMerge for your own mailbox, install it from Microsoft AppSource instead. It takes a few minutes.

Before you start

  • You need an administrator role in Microsoft 365 that can manage integrated apps, such as Global Administrator.
  • Users need a Microsoft 365 Business or Education mailbox.
  • Installation is free. Deploying does not license the add-in (see the last section of this page).

Deploy SecureMailMerge step by step

  1. Sign in to the Microsoft 365 admin center at admin.microsoft.com.
  2. Go to “Settings” > “Integrated apps”.
  3. Click “Get apps”. The store opens inside the admin center.
  4. Search for “SecureMailMerge” and select it.
  5. Click “Get it now” and accept the terms if asked.
  6. Choose who gets the add-in: “Just me”, “Entire organization” or “Specific users/groups”. If you choose specific users or groups, search for and add them.
  7. Review the permissions SecureMailMerge requests and accept them. They are explained in Microsoft 365 permissions and firewall requirements.
  8. Finish the deployment.

Microsoft occasionally renames these steps. If a label differs from what you see, follow Microsoft’s own guide to deploying add-ins in the admin center.

How long until users see it

It can take up to 24 hours for the add-in to appear in Outlook for deployed users. Users may need to close and reopen Outlook.

Once it appears, users open it by composing a new email and choosing SecureMailMerge from the “Apps” menu (or the ribbon in some Outlook versions). The first time they open it, they sign in with their Microsoft 365 account.

If users still see “Need Admin Approval” when they open the add-in, grant consent for the permissions as described in Why am I seeing “Need Admin Approval”?.

Change, update or remove the deployment

  • Change who gets it: In “Settings” > “Integrated apps”, select SecureMailMerge and edit its users. You can switch between specific users or groups and the entire organization.
  • Updates: SecureMailMerge runs from our servers, so users get new versions automatically without any action in the admin center. If a new version ever needs additional permissions, the admin center asks you to review them.
  • Remove it: In “Settings” > “Integrated apps”, select SecureMailMerge and remove the app. It disappears from users’ Outlook after Microsoft’s propagation delay.

A deployed add-in is managed by the administrator, so users cannot remove it themselves. See Uninstall or reinstall SecureMailMerge.

Deployment does not license users

Deploying SecureMailMerge only makes the add-in available in Outlook. It does not purchase or assign licenses.

  • Every deployed user can use every feature in the free version, which adds a short promotional footer to each email.
  • To remove the footer, purchase licenses and assign one to each sending email address on the licensing server at licensing.solinventum.com.
  • Assigning users in “Integrated apps” controls who has the add-in, not who has a license.

Frequently asked questions

How long does centralized deployment take?
Microsoft says a deployed add-in can take up to 24 hours to appear for users. Users may need to close and reopen Outlook.
Does deploying SecureMailMerge license it for my users?
No. Deployment only makes the add-in available in Outlook. Users get the free version, with every feature and a short promotional footer. Licenses are purchased separately and assigned to each sending address on the licensing server.
Can users remove an add-in that I deployed?
No. A deployed add-in shows as managed by the administrator, so users cannot remove it themselves. Remove it or change who it is assigned to in "Integrated apps".
