Explore the features

Investor reporting, right the first time.
Every quarter.

From a single client notice to a full quarter-end run, with every document matched to the right client before anything is sent.

Messages & attachments

The right statement to the right client
Name each client's file in your spreadsheet. Before the campaign can start, every filename must match a file you uploaded, and the add-in flags any that do not. Several files for one client, or a common file for everyone.
Copy compliance or the relationship manager
Copy the same people on every email, use a different advisor for each row, or combine both approaches.
Send from your investor-relations address
Start in your own mailbox and change the "From" address to a shared mailbox, with Send As permission. Sent messages are saved in your own Sent Items folder.
A separate reply-to address
Send from your address and route client replies to a relationship manager or team inbox. Set one reply-to address for the campaign.

Sending & control

A send report for your files
Download an Excel record of each row's status, the To, CC and BCC addresses used, attachments, submission time and message identifiers. Submission records are not confirmation of delivery.
Test emails and time to review
Send yourself a test first. "Delay before the first message" holds the generated messages in Drafts for up to ten minutes so you can inspect them in Outlook. Sending starts automatically when the delay ends.
Start dates, weekdays and sending hours
Choose when messages go out, such as the morning reports are due. Keep Outlook open while messages are generated; once submitted, Microsoft 365 sends them on schedule even with Outlook closed.
Pause, resume or cancel a campaign
Control campaign generation and resume after reopening the add-in. Messages already submitted to Microsoft 365 keep their schedule.

Personalization

Fund, period, amount, advisor name
Insert spreadsheet fields into your subject and email body, from the client's name to their fund, reporting period and amounts.
Different wording for taxable and tax-exempt accounts
Show different text based on your data, so each client only reads the paragraphs that apply to their account.
Fallback values for missing data
Choose alternative text for empty fields. A missing advisor name does not have to leave an unfinished sentence.
Your signature and disclaimer stay
Keep your signature, disclaimer, tables and familiar Outlook formatting. Send yourself a test to check the finished message.

Recipients & data

Excel, CSV and other spreadsheets
Start with the export you already have. Excel, CSV, TXT, Numbers, OpenDocument and other spreadsheet formats are supported.
Review, search and select recipients
Search, sort and filter the recipient table in the add-in, then untick anyone to skip. Hiding or filtering rows in your spreadsheet does not exclude them.
One email per client with several accounts
Combine several rows for one client into a single email with a table. Attachments and CC/BCC addresses from those rows are combined and deduplicated.

Every feature, on both plans. Choose your plan
Use it free with a promotional footer, or remove the footer with a license.

Built for regulated work

Client data stays
where it already is.

Your client list, attachments and message text are processed on your computer inside Outlook.

Finished emails are sent through your own Microsoft 365 mailbox and land in Sent Items like any email you write yourself, so your existing retention, archiving, DLP, eDiscovery and audit controls keep applying. Campaign data is never sent to our servers for processing.

No open pixels, no click tracking, no third-party sending domain. The license check sends your mailbox's email address, the product name and a timestamp, never your client list or message content.

For your vendor review we publish the Microsoft permissions the add-in requests, a data processing addendum we countersign, and a Microsoft Publisher Attestation, which is a self-reported questionnaire published by Microsoft, not a Microsoft security review. We hold no SOC 2 report or ISO 27001 certification of our own. The data we do hold, such as account, licensing and billing contact details, is listed in full in the security guide, and none of it is campaign data.

“Great for recertification campaign. Have used this to send out recertification forms to management for auditing purposes, makes the process smooth and a lot easier.”

Does any client data leave our Microsoft 365 tenant?

Only as the emails you send. Your client list, attachments and message text are processed on your computer inside Outlook and sent through your own Microsoft 365 mailbox. They are never sent to our servers. The add-in contacts our licensing server with your mailbox's email address, the product name and a timestamp, and sends anonymous usage counts and error reports that contain no recipient data. Both of those can be blocked at your firewall.

Read the security guide
How do we avoid sending the wrong statement to the wrong client?

Each row of your spreadsheet names that client's file. Before the campaign can start, every filename must match a file you uploaded, and the add-in warns about any that do not, including a wrong extension or different capitalization. Send yourself a test built from the first row to check the attachment, review the recipient table and untick anyone to skip. After sending, the send report lists the attachments used for every row.

See how individual attachments are checked
Can a second person review the emails before they are sent?

There is no approval step in the add-in. You can forward the test email to a colleague, review the recipient table together, and use "Delay before the first message", which holds the generated messages in Drafts for up to ten minutes so you can inspect them in Outlook. It is a countdown, not an approval. Messages send when it ends, and to stop one you delete it from Drafts in Outlook on the web before its send time. For a longer window, schedule the campaign to start on a later day and review the drafts before then.

Read about the review delay
Will these emails be captured by our archiving and supervision?

In the same way as any email from that mailbox. Messages are created in Outlook on your computer and sent from your own Microsoft 365 mailbox through Microsoft Graph, so they appear in Sent Items, and the retention, archiving, DLP, eDiscovery and audit policies your organization applies to that mailbox apply to them. There is no SecureMailMerge server in the sending path.

See where your data goes
Can our IT team review the permissions before we install?

Yes. The permissions guide lists every Microsoft permission the add-in requests and why, plus the hosts to allow through your firewall. Your organization may require administrator approval, and IT can deploy the add-in centrally from the Microsoft 365 admin center.

Read the permissions guide
Can several colleagues send from one investor-relations mailbox?

Yes. Each colleague installs the add-in on their own mailbox and chooses the shared address in the "From" field. Your administrator must grant Send As permission. Sent messages are saved in the sender's own Sent Items folder. Running the add-in directly inside a shared mailbox is not supported.

See shared mailbox setup
Can we buy and manage licenses centrally through Microsoft?

Yes. Buy through the SecureMailMerge SaaS offer on Microsoft AppSource to pay through your Microsoft 365 subscription, with volume discounts from 10 licenses. Billing and cancellation are managed in the Microsoft 365 admin center. Licenses are assigned to each sender's own email address on our licensing server, where IT can manage them as delegated administrators.

See central license management
Is there a record of what was sent to whom?

Yes. After each campaign, select "Download report" to save an Excel file with one row per spreadsheet row, showing its status, the addresses used, attachments, submission time and message identifiers. It records what Microsoft 365 accepted, not inbox delivery. Save it before starting the next campaign. Sent messages are also in your Sent Items folder.
