01 / PREPARE

Add your customer list

Export from your ERP or use the customer sheet you already keep, with company, contact, customer number and the file for each account.

02 / PERSONALIZE

Write it once, in Outlook

Insert the company name, contact, discount group and effective date. Each account manager sends their own batch, so the email comes from the person the customer knows.

03 / CHECK & SEND

See it before they do

Check that each attachment matches its customer, send yourself a test, then schedule the start for Monday at 7:00 so it is waiting when they start work.

Built for trade customer mail

Price lists, quotes,
order and shipment updates.

From one backorder notice to the annual price-list run across every account.

Messages & attachments

Different attachments for each recipient
Each customer gets their own price list, quote or confirmation, matched by the filename in your spreadsheet. Add a common file, such as your terms, for everyone.
Your full mailbox size allowance
Catalogues and spec sheets without a size cap from us. Your Microsoft 365 message size limit and the receiving systems still apply.
Shared mailbox sending
Send from orders@ or sales@ by changing the "From" address, with Send As permission. Or let each account manager send from their own address.
A separate reply-to address
Send as the account manager and route replies to your internal sales inbox. Set one reply-to address for the campaign.

Recipients & data

Excel and CSV
Use ERP and CRM exports as they come, in Excel, CSV or other spreadsheet formats. No reformatting into a template first.
Many-to-one mail merge
One email per customer listing all their open order lines in a table, with the confirmation from each row attached.
Review, search and select recipients
Search and filter the recipient table in the add-in, then untick accounts on credit hold. Hiding rows in your spreadsheet does not exclude them.
Personal and shared Outlook contacts
Pick recipients from your personal or shared address book, with company and department details for personalization.

Sending & control

Start dates, weekdays and sending hours
Start on a set date and send only within business hours, so the price list arrives at the start of the working day.
Download a detailed send report
An Excel record per customer of what was submitted, when, and with which attachments. Submission records are not confirmation of delivery.
Message delays and daily caps
Spread a large run across the day or the week with a delay between messages and a maximum per day.
Pause, resume or cancel a campaign
Pause if a price looks wrong, continue later, or cancel the remaining messages. Messages already submitted to Microsoft 365 keep their schedule.

Personalization

Personalized subjects and messages
Insert the customer number, discount group and effective date from your spreadsheet into the subject and message.
Conditional content
Show different terms to domestic and export customers from the same message, based on a column in your data.
Number and date formatting
Prices, discount percentages and delivery dates merge as they are formatted in Excel. Use Excel's TEXT function when a format must be exact.
Fallback values for missing data
Choose alternative text for empty fields, so a missing contact name does not leave an unfinished greeting.

Every feature, on both plans. Choose your plan
Use it free with a promotional footer, or remove the footer with a license.

Built for everyday business mail

Your customer data
stays in your Outlook.

Your customer list and documents are processed on your computer inside Outlook.

Finished emails are sent through your own Microsoft 365 mailbox. Nothing is uploaded to our servers, and every sent message is in the account manager's Sent Items for the next call.

No open pixels or click tracking. A price-list email is business correspondence, not marketing. The license check sends your mailbox address, the product name and a timestamp, never your customer data.

Questions from
sales ops and account managers.

Answers before the first price-list run.

Visit the Help Center
Can each account manager send to their own customers from their own address?

Yes. Each account manager installs the add-in in their own Outlook and sends their own batch, from their own customer sheet or a copy of the master list with only their accounts. Everyone can start with the free version. A paid license covers one sending mailbox, so buy one per account manager and assign them on the licensing server.

See how to assign licenses
Can one email list several open orders for the same customer?

Yes. Put one order line per row with the same customer address, and choose many-to-one mode. Each customer gets a single email with a table of their lines, and the attachments from those rows are combined.

Set up a many-to-one mail merge
How big can the attached catalogue or price list be?

SecureMailMerge adds no size cap of its own. Microsoft 365 limits a message to 35 MB by default, including attachments, and administrators can raise this to 150 MB. Attachments grow by about a third when sent, so share very large catalogues as a OneDrive or SharePoint link.

Check the size and sending limits
Can we send from orders@ or sales@?

Yes, with Send As permission for the shared address. Each account manager installs the add-in on their own mailbox and picks orders@ or sales@ in the "From" field. Sent messages are saved in their own Sent Items folder, and replies go to the shared mailbox. Running the add-in directly inside a shared mailbox is not supported.

See shared mailbox setup
Is there proof of what was sent to each customer?

After each campaign, download the send report as an Excel file. It lists every customer row with its status, the attachments included and when Microsoft 365 accepted the message. It records submission, not inbox delivery, and SecureMailMerge does not track opens.

See the send report
Will it work with our Microsoft 365, and does IT need to approve it?

Each account manager needs a Microsoft 365 work or school account. New Outlook, classic Outlook, Outlook for Mac and Outlook on the web are supported. Your organization may require administrator approval for add-ins, so IT can review the permissions and deployment guidance before anyone installs.
